Diagnose a KPI Drop: Junior Analyst Finance Fix

Find the root cause of a KPI drop in one focused session. Ship clean analysis with clear recommendations.

Who This Helps

You're a Junior Analyst who just saw a key number drop. Maybe revenue dipped 12% this week. Or contribution margin slipped. You need to figure out why—fast—and tell your team what to do. This is for you.

Mini Case

Meet Viktor. He's in the Finance Basics for Operators course, working on the "Unit Economics Snapshot" mission. His company's gross margin dropped from 45% to 33% in one week. Viktor has to calculate contribution margin and identify one weak line. He runs the numbers: revenue is $50k, variable costs are $33.5k. Contribution margin? 33%. That's a 12-point drop. He digs into the cost lines and finds one supplier raised prices by 20%. That's the root cause.

Do This Now (5 Steps)

  1. Pull the KPI for the last 7 days. Don't guess. Get the exact number. Compare it to the prior week.
  2. Break it into pieces. If it's revenue, split by product line. If it's margin, split by cost category. Find the one piece that changed most.
  3. Check the biggest change. Look for a jump or drop of more than 10%. That's your suspect.
  4. Ask one person one question. Call the person who owns that piece. "Did anything change with supplier X this week?"
  5. Write one recommendation. Example: "Renegotiate supplier contract or switch to backup vendor within 3 days."

Avoid These Traps

  • Don't blame the whole team. Focus on one line item.
  • Don't overcomplicate. You don't need a 10-page report. One page with one root cause and one action is enough.
  • Don't ignore small numbers. A 2% cost increase in one category can kill margin.
  • Don't wait for perfect data. Use what you have now.
  • Don't forget to check the date. Maybe the drop is just a timing issue.
  • Don't skip the recommendation. Analysis without action is just noise.
  • Don't assume it's a demand problem. It might be a cost problem.
  • Don't forget to celebrate when you find it. Yes, really. You earned it.

Your Win by Friday

By Friday, you'll have one clean analysis with one clear recommendation. You'll know exactly why the KPI dropped and what to do about it. Your manager will nod and say "good work." And you'll feel like a finance detective who just cracked the case. That's the win.
