Do This Now (5 Steps)

  1. Identify Your One Key Message. What is the single, most important thing your stakeholder needs to know? Not five things. One.
  2. Start with the ‘So What’. Lead with the impact. Is it a risk, an opportunity, or a required correction? Put the conclusion up front.
  3. Anchor to a Common Goal. Connect your insight directly to a shared objective, like customer retention or quarterly growth.
  4. Show the Path. Present 1-3 clear, concrete next steps. Make them simple enough to visualize.
  5. Define the Ask. Be explicit. What do you need from them? Approval? Resources? A decision by Friday? Clarity gets results. Think of it as giving your data a voice, not just a spreadsheet.

Avoid These Traps

  • The Data Dump: Presenting every chart and number. It overwhelms and obscures the point.
  • Assuming Context: Believing your stakeholders remember the background as well as you do. They don’t.
  • Ending with ‘Any Questions?’ This passes the burden back to them. Always end with your proposed next actions.
  • Getting Defensive in Q&A. Treat questions as a sign of engagement, not attack. Use them to clarify your narrative.
  • Waiting for Perfect Data. A strong narrative with good-enough data beats a perfect analysis that arrives too late.
  • Skipping the Story for the Tech. No one gets excited about a new monitoring tool. They get excited about never missing a critical customer trend again.
  • Forgetting the Human Element. How does this affect the team’s work or the customer’s experience? Connect the dots.
  • Ignoring the ‘Postmortem’ Mindset. If a decision goes sideways, document why. This builds credibility for next time.
