- Define Your One Key Message. Before you look at any data, ask: What is the single most important thing my stakeholder needs to know? Write it down in one sentence.
- List Your Evidence. What 2-3 numbers absolutely prove your key message is true? Ignore everything else for now.
- Build Your Executive Snapshot. Create a one-page view. Start with your key message, show your 2-3 proof points, and end with a clear, single ask.
- Choose Your Chart. Pick one visual that directly answers your stakeholder's biggest question. If it doesn't answer that question, scrap it.
- Check Your Arc. Does your story have a clear beginning (problem), middle (data), and end (your recommended action)? If not, simplify.
Avoid These Traps
- The Data Dump Trap: Don't show every metric from your dashboard. It makes stakeholders skim and miss the point.
- The Multi-Ask Trap: Never end your update with more than one request. It leads to confusion and inaction.
- The Drifting Update Trap: Your update must be for a specific person and drive one specific decision. If it's drifting, refocus using your stakeholder lens.
- The Distracting Chart Trap: A fancy chart that doesn't serve your key message is just decoration. Keep it simple and purposeful.
