Diagnose a KPI Drop: Junior Analyst's 5-Step Fix

Find the root cause of a KPI drop in one focused session. Ship clean analysis with clear recommendations.

Who This Helps

This is for junior analysts who stare at a red number and feel stuck. You know the data is telling you something, but the story isn't clear yet. The Data Storytelling for Stakeholders course is built for exactly this moment — when you need to turn a messy dashboard into a crisp narrative.

Mini Case

Meet Priya. She's a junior analyst at a mid-size e-commerce company. Last Tuesday, she saw the conversion rate drop from 3.2% to 2.8% in just 7 days. Her boss wanted answers by Friday. Priya used the "One Key Message" mission from the course to focus her analysis. Instead of listing 10 possible causes, she found one root cause: a broken checkout button on mobile. She shipped her analysis with a clear recommendation — fix the button — and the team acted in 3 days.

Do This Now (5 Steps)

  1. Pick one KPI. Don't chase everything. Choose the one number that matters most to your stakeholder right now.
  1. Check the time frame. Look at the drop over 7 days, 30 days, or 90 days. A 12% drop in one week is different from a 12% drop in a quarter.
  1. Segment the data. Break the KPI by channel, device, region, or customer type. Priya found the drop was only on mobile — that's a clue.
  1. Ask "why" three times. For each segment that dropped, ask why. Keep digging until you hit a root cause you can fix.
  1. Write one recommendation. Don't list five options. Pick the one action that will move the needle most. That's your key message.

Avoid These Traps

  • Don't blame the data. If the number looks wrong, check your query first. It's usually a filter or a date range issue.
  • Don't over-explain. Your stakeholder wants the root cause and the fix, not a 10-page report.
  • Don't ignore context. A drop during a holiday sale is normal. A drop on a random Tuesday is not.
  • Don't forget the ask. End every analysis with a clear next step. Who needs to do what by when?

Your Win by Friday

By Friday, you'll have one clean analysis with one clear recommendation. Your stakeholder will know exactly what happened, why, and what to do next. That's the kind of work that gets noticed — and it's exactly what the Data Storytelling for Stakeholders course teaches you to do. Plus, you'll feel like a detective who just cracked the case. Pretty fun, right?
